Saved Permissions is an administrative tool that allows admins to create and save predefined permission templates for team members. Instead of manually configuring access rights each time you add a new user to your organization, you can now establish default permission sets that automatically apply to new accounts based on their role within your organization.
How to Set Up and Use Saved Permissions
- Navigate to the Saved Permissions section within your Admin Center > Team Members. This is where you'll create and manage all permission templates for your organization.
Click to create a new saved permission set. You'll need to provide a title for easy identification - for example, "Default LO Permissions" or "Branch Manager Permissions."
While not required, adding a description helps other admins understand the purpose and scope of the permission template.
- Choose all the features and tools that should be included in this permission set. For example, if creating a template for loan officers, you might select "Loan Officer Tools" along with any other relevant features they need to perform their job functions (see full list of permissions and descriptions at the bottom or this article).
- Once you've configured all necessary permissions, save the template. You can create multiple templates for different roles within your organization.
- When you navigate to "Add Team Member," the system will automatically default to your saved permission template (such as "LO Permissions" and "Loan Officer Tools"). The admin can accept these defaults or modify permissions for individual users as needed.
- Repeat the process to create permission sets for other roles in your organization, such as "Default Branch Manager Permissions" or team-specific configurations. Each template can be customized with the appropriate feature access for that role.
- Even with saved permissions in place, admins retain the flexibility to customize individual user permissions during the account creation process by selecting different or additional features as necessary.
List of Permissions:
Admin Center: Enables "Admin Center" drop down on left hand menu which gives access to active and archived user roster, adding, and disabling seats.
Agent Tracking Alerts: Enables email alerts to user for new listings for agents they are manually tracking and for agents that are being automatically tracked for them based on agents they've worked with in the past.
Builder Research: Enables "Builders" button on left hand menu which allows users to perform multiple different types of searches through MMI builder data
Company Wallet Share: Enables company wallet share tool that is labeled as "Realtor Wallet Share" by going to Mortgage --> Lenders --> Realtor Wallet Share. Allows user to view a breakdown of all agents a lending company or branch has worked with over the past year. Similar to Agent Wallet Share tool for individual Loan Officers but on a company/branch wide scale. This also enables the Insights button in the Tools drop down which allows access to a couple of additional search functions for company market share and newly licensed Loan Officers.
Disable Leaderboard Access: Disables access to the "Leaderboards" button on the left hand menu. If this setting is toggled "On" the user will not see Leaderboards
Disable Mortgage Data: Disables access to "Mortgage" drop down on left hand menu which prevents user from performing Lender and Loan officer searches as well as My Mortgages and Refinder. If this permission is toggled "On" the user will not see the Mortgage drop-down.
Disable Prospect Opportunities: Disables access to the "Prospect" section of the Refinder tool. The Prospect section allows users to see refinance leads based on their geographic area. If this permission is toggled "On" the user will not see the Prospects option when accessing Refinder.
Disable Real Estate Data: Disables access to "Real Estate" drop down on left hand menu which prevents user from performing Real Estate Agent and Real Estate Office searches. If this permission is toggled "On" the user will not see the Real Estate drop-down.
Disable Win-Back Opportunities: Disables access to the "Win-Back" section of the Refinder tool. The Win-Back section allows users to see specific refinance leads where they have an opportunity to win-back a past client that they have a prior relationship with but are not the most recent loan officer for the lead. If this permission is toggled "On" the user will not see the Win-Back option when accessing Refinder.
Loan Officer Tools: Enables the "Tools" drop down on the left hand menu. Tools houses our Real Estate and Mortgage data coverage maps as well as some power features for a loan officer that provides them with opportunities to reach out to their existing agent database (Agent Wallet Share) as well as find new agents to reach out to (Matchmaker). Please note that if the user does not have an NMLS ID associated with their seat, they will only see the data coverage maps.
Manual Property Monitoring: Enables the ability for the user to manually track property addresses in MMI to be notified when those properties are listed. Typical use case is for LO's to track addresses of family/friends to be in-the-know when they list their homes. Found in the Properties drop down within Property Monitor.
Past Property Tracking Alerts: Enables automatic listing alerts for properties that the user has previously originated a loan on. The user must have a NMLS ID associated with their seat.
Property/County Research: Enables reverse address lookup of properties to view public data like Deeds, Mortgages, etc. Typically used for troubleshooting. Housed in the Property Dropdown.
Title Explorer: Enables "Title" button on left hand menu which allows the user to perform a search for a specific Title company or view a ranking of Title companies by state. Title data varies based on state and region.
View LO Contact Details: Enables enhanced contact data for Loan Officer FastFact profiles using additional public data sources.
Wholesale Insights: Enables "Wholesale & Brokers" section when navigating to Mortgage --> Lenders --> Wholesale & Brokers which allows users to access additional search tools for Wholesale Lenders and individual Brokers.
Saved Permissions addresses a critical pain point in user administration by eliminating the need to manually configure access rights for each new team member. This feature ensures consistency across your organization by guaranteeing that all users in similar roles receive the same baseline access to tools and features.
